Quick Start Guide – Your 5-Step Checklist
New to fundraising? No problem. Here’s exactly what to do and when to do it.
This is your cheat sheet. Do these five things in order and you’re golden. The rest of this page? That’s the deep dive stuff you can read later or reference when you need it.
✅ Step 1: Set Up Your Admin Dashboard
You’ll get an email with your registration link. Click it, create your password, verify your email, and log in. Do this BEFORE you hand out a single brochure.
Time needed: 10 minutes
✅ Step 2: Add Your Team Leaders
This step is optional but makes delivery day so much easier. Here’s how: Once you’re in the dashboard, add your coaches or team names to the “leader” section. This lets you track sales by team and keeps everything organized. Do this BEFORE you hand out any brochures.
Time needed: 5-15 minutes depending on team count
✅ Step 3: Get Everyone Registered (THIS IS EVERYTHING)
We can’t stress this enough. If people don’t register, they can’t sell. Period. Do whatever it takes to get 100% registration. Host an Hour of Power, walk people through it one-on-one, send reminder texts at midnight.
Time needed: As long as it takes
✅ Step 4: Distribute Brochures
Hand out brochures at a parent meeting, coaches meeting or practice. Main goal here is to get these into the hands of as many people possible. Explain the reason for the fundraiser and how it benefits everyone. Share deadline and how they get free bonus boxes.
Time needed: 15-30 minutes
✅ Step 5: Set Your Deadline and Let Them Sell
Keep it short. 2 weeks max. Longer campaigns don’t mean more sales. They mean people forget. Post reminders on social media and celebrate wins along the way.
Time needed: 2 weeks of light monitoring
That’s it. The rest of this page covers the details plus incentives, shipping, storage, troubleshooting, and more. Come back to those sections when you need them.
Now go get those registrations! 🍪

IMPORTANT FIRST STEPS - Dashboard Setup
Understanding Your Dashboard
Before You Start Your Fundraiser, Set Up Your Admin Account
Your fundraiser operates on 1cookie, a third-party platform provided by our cookie dough supplier, Neighbors Cookies. This platform handles all online ordering, payment processing, and order management.
You’ll receive an email with your registration link to access your 1cookie platform dashboard.
Do this BEFORE you hand out any brochures.
Heads up: The 1cookie platform was built for schools, so some of the words won’t match your league. Here’s the translation:
- Chairperson = You/Admin/Board member
- Ship to School = Ship to your league/group/organization
- Student = Seller/Parent/Player/Participant
- Student Pack = Seller’s order (presorted, pre-packaged, and labeled with seller’s name)
- Leaders = Coach's name, team name or age division

IMPORTANT: EMAIL ADDRESS RULE
You CANNOT use the same email address for setting up your 1cookie admin account and a seller account.
If you want to create a seller account for your child/player, you MUST use a different email address.
We recommend using a league email for your admin account and your most accessible personal email for your child’s seller account.
You can also have your spouse or significant other create the seller account using their email.
Step 1: Access Your Dashboard
- Click your registration link from the email we sent.
- Enter your email address and create a password
- Check your email inbox and verify your account
- Return to the login page and access your dashboard
Step 2: Add Your Team Leaders (Optional)
If you want team or coach names included on pre-sorted orders, add this information in your dashboard before selling begins.
- Navigate to "Leaders" in your dashboard
- Add coach names or team names
- This allows you to sort sales reports by team
- Step-by-Step Dashboard Guide: Link provided in your setup email
Platform Support: For password resets, technical issues, or questions about the 1cookie platform specifically, please direct participants to the 1cookie support team. For questions about your Fundrazor fundraising plan, products, or processes, contact your Fundrazor representative.
1. The Key to Your Success - Max Participant Registration
Getting participants registered on the 1cookie platform is the single most important step in your entire fundraiser. Without registration, participants cannot access their personal fundraising pages, share their links, or collect orders. Nothing else matters until as many participants as possible are registered at 1cookie.
Registration must be your absolute priority. We don’t care if you have to send multiple reminders, offer one-on-one help, or personally walk them through the process—do whatever it takes to get 100% registration.
TIP: Please do not skip this step. Focus most of your time on the front end because the rest of your fundraiser will be easy as we do the heavy lifting from here on out.
When to Get People Registered (These Work Best):
The most effective method for getting participants registered happens when you have all participants together in one place. Here are the three best opportunities:
- Using our Hour of Power session – This guided group registration event can actually be completed in 30 minutes. It is by far the most profitable approach and the guaranteed way to reach your fundraising goals. (See Hour of Power section below)
- At the beginning of a parents meeting – Take 5 minutes at the start of your meeting to have everyone register on the spot while you’re available to help
- During sports registration – If participants are registering their child to play sports, have them complete fundraiser registration at the same time.
Registration Impact:
- 100% registration = Maximum fundraising potential
- Average participation rate: 65% of registered participants actively sell
- Each registered participant = Opportunity for $100+ profit
🎁 REGISTRATION BONUS: We’re offering a $25 gift card drawing entry for every person who registers. Use this incentive to motivate as many participants as possible to register.
2. Create a Goal
Figure out how much you need to raise. What are the top 3 things your league actually needs? Add up the costs, then add 20% more just to be safe.
Example: If your league needs to raise $10,000 profit, add 20% buffer and set your fundraising goal at $12,000. To reach $12,000 in profit, you would need to sell 1,200 items, which equals $30,000 in retail sales.
DASHBOARD TIP: The fundraising goal you want to reach needs to factored with the $25 retail pricing of the 1Cookie dashboard.
Historical Data:
Average profit per person: $100
Average participation per league 50%
🏆 MVP ADVANTAGE: Sellers earn 1 free box of chunky chocolate chip for every 12 items sold which will maximize profits and the true motivator for seller’s averaging over $100 profit.
3. Timeline for Fundraiser
With online ordering and pre-sorted delivery, your fundraiser is simpler and faster!
Timeline Overview: As a general guideline, from start to finish, plan for about 4-5 weeks.
Here’s the recommended timeline:
Selling Campaign: 2-3 weeks
Parents and players share their unique selling links and QR codes to collect orders online.
We suggest keeping the selling period to about 2 weeks, but no longer than 3 weeks.
Order Processing: Immediate
All orders are automatically recorded in the 1cookie platform as they come in. Payments process instantly online!
Ship to Group Orders: 3 weeks from completion of campaign
Ship to Home Orders: Ship every Monday to the buyers home.
TIP 1: Most people think longer campaigns = more sales. They’re wrong. People just forget. Keep it short.
TIP 2: Start and end your selling campaign on payday periods such as the 1st, 15th or 30th.
What Happened to Money Collection Week?
It’s gone! 🎉 With online ordering, payments process instantly.
4. Set Expectations For Everyone
The leagues that crush it? They’re upfront about what’s expected right from the start.
Leagues with clear expectations often triple their profits!
Why Setting Expectations Matters
Most parents don’t realize how much it costs to run a quality youth sports program. Registration fees rarely cover everything—field maintenance, equipment, uniforms, umpires, insurance, and facility improvements all add up quickly. That’s where fundraising comes in.
When parents understand that the fundraiser directly benefits their child’s experience, they’re far more likely to participate enthusiastically. Clear expectations eliminate confusion and create accountability.
When To Set Expectations
Before registration and before the season even starts. This ensures no parent is caught off guard later.
Best practices:
- At registration: Include fundraising expectations in your signup process (paper or online forms)
- Before brochure distribution: Remind families at team meetings or via email
- Throughout the campaign: Continue reinforcing the goal and celebrating progress
How To Communicate Your Expectations
1. Break Down Your League-Wide Goal
Make your overall goal feel achievable by showing the simple math.
Example: “Our goal is to raise $12,000 in profit for our 200 baseball players. That’s just selling 6 items per player which is totally doable!”
When families see the numbers broken down, they realize their individual contribution makes a real difference.
2. Explain Where The Money Goes
Parents participate more when they understand the “why” behind the fundraiser.
Be specific:
“Funds will cover new equipment and field improvements”
“This fundraiser helps keep registration fees affordable”
“Profits go directly to [specific team needs or league improvements]”
3. Set Team-Level Targets
League-wide goals can feel abstract. Make it personal by giving each team or grade level a specific target:
“The 10U division has 40 players, so our team goal is 200 items”
“If each player sells just 5 items, we’ll exceed our target!”
Coaches can then track their team’s progress and create friendly competition between teams.
TIP: Add This Clause To Your Registration Form
“By registering your child for [League Name], you agree to support our annual fundraiser. We ask each family to participate by selling the required amount set by the league. Your cooperation directly benefits your child’s experience. Thank you for your support!”
This creates accountability from day one.
4. Setting Player/Family Requirements
It’s perfectly acceptable to set a minimum participation requirement. Many successful leagues do this:
Minimum items per player: “Each family is expected to sell at least 5 items”
Optional higher goals for rewards: “Sell 10+ items and earn a special prize!”
The key is to be upfront about requirements and consistently remind families throughout the campaign.

6. Best Practices for Brochure Distribution
Your MVP brochures are beautiful, professionally designed pieces featuring all 8 flavors. Each has a QR code connecting to your online ordering system. Show brochure → Buyers scan QR code → Payment processed online → No cash, no checks!
Here’s how to hand out the brochures without people slipping through the cracks:
Whille distributing the brochures, clearly communicate:
- The deadline for the fundraiser
- How to scan the QR code and register their account
- How to get their unique selling link and personal QR code
- The bonus box incentive (1 FREE box per 12 sold)
- Where to check their sales progress in real-time
Additionally, this is a great opportunity to highlight the incentives. Emphasizing these can really boost participation in your fundraiser.
Mandatory Parent and Player Meeting (Best Option)
The ideal moment to hand out cookie dough brochures is during a mandatory meeting where everyone—players, parents, coaches, and board members—is gathered.
This is a fantastic chance to discuss your fundraising goals and explain how the profits will benefit the league.
Let’s face it: most parents have no idea how much it actually costs to run a season. They often think that registration fees cover everything, but that’s not the case. It’s our job to inform them and help them understand that these fees don’t fully meet the financial needs of the league.
During your meeting, take the time to share your fundraising goals and expectations. By doing so, you’ll foster a sense of ownership and involvement in the upcoming season.
Coaches Meeting
During the coaches’ meeting, take a moment to hand out brochures to everyone. It might be best to do this at the end of the meeting, so it’s fresh in their minds when they leave. Be clear about the fundraiser goals and expectations for all players and teams involved.
Make sure every coach knows how the fundraiser will benefit their team. It’s important to have everyone on the same page!
TIP: Be advised that if a coach forgets to distribute the brochures or decides not to participate, that could mean several players missing out on participating. A good checks and balance system in place keeps this from happening.
🏆 MVP PLAN INCLUDES: 150 full-color professional brochures with QR codes! Need more? Extra copies are just $0.15 each.
Team Mom Meeting
If you have team moms, use this opportunity to distribute cookie dough brochures. The team mom concept is straightforward: team moms get things done! If your league doesn’t have a team mom in place, it’s worth considering. We’ve noticed that many successful customers in their fundraising and other league activities utilize the team mom idea. Having a team mom reduces the burden on coaches, allowing them to focus more on coaching. You can kick things off by distributing brochures for each team during a meeting with the team moms.
At Practices
Feel free to hand out cookie dough brochures during practice! Make sure each team understands how important this fundraiser is and what’s expected from the players and the team overall.
TIP: The 20/80 rules applies to everything and especially fundraising. The youngest ages in your organization will generate 80% of your profit. Prioritize your energy on them first.

⚡ BONUS: Hour of Power - Your Guaranteed Path to Success
Want to knock your fundraiser out of the park? Use our Hour of Power and we guarantee you’ll get the results you want in just 60 minutes.
This is a game-changer. The Hour of Power is by far the most profitable approach and the guaranteed way to reach your fundraising goals.
What You’ll Receive:
We provide you with three ready-to-use documents:
- Hour of Power Overview Flyer – Explains the 5-step process
- Introduction Letter – Give to participants explaining the concept, privacy, and contact methods
- Contact Tracking Form – Participants use this to list their 25 contacts and track results during the event
The 5-Step Process:
STEP 1: Schedule Your Event
Pick a date and time for your Hour of Power. Attendance by all is strongly encouraged. To appeal to everyone and maximize results, turn the event into a party with pizza and prizes.
STEP 2: Print & Distribute Materials
Print copies of the introduction letter and contact tracking form. Distribute them to participants BEFORE the event and hype as much as possible.
STEP 3: Pre-Event Homework (CRITICAL)
Have participants complete their contact list BEFORE the event. They should write down 25 (or more) names and phone numbers of people most likely to support their fundraiser. Use the “Preferred Contacts” suggestions on the form.
STEP 4: Bring Completed Lists
At your Hour of Power event, participants must bring their completed contact tracking form with all 25 names filled in. This is their roadmap for the 60 minutes.
STEP 5: Launch The Power Hour!
- Give a quick pep talk explaining the benefits and how it helps everyone
- Set a timer for 60 minutes
- Participants start contacting people: phone calls and texts first (most effective), then social media
- Make it fun—bring a bell, hand out prizes, recognize people when they hit goals
- Participants track their progress on the form: how they contacted and whether they got support
PRO TIP: The energy in the room is contagious. When everyone is contacting their network at the same time, it creates momentum and accountability. This is why Hour of Power consistently delivers the best results.
9. Supercharge Your Fundraiser Using Social Media
Give your fundraiser the boost it needs to succeed.
Social Media is your strongest flex
One of the easiest and most effective ways to drive sales is through social media. Make the most of this powerful platform by posting daily updates. You can share on the league’s Facebook page or group, and don’t forget to tweet on “X” too!
Daily Update Ideas:
- Countdown posts: “Only 5 days left to order!”
- Leaderboard updates: “Team Blue is in the lead with 85 items!”
- Bonus box celebrations: “5 sellers have earned bonus boxes already!”
- Milestone alerts: “We’re at 1800 items! Only 200 to go to reach our league goal!”
- Success stories: “Sarah sold 40 items just by posting her link on Facebook!”
Facebook Stories are a fantastic option as well since they stay up for 24 hours. Daily posts help keep your fundraiser goals in sight and serve as a great reminder for parents about the deadline and the bonus box incentives.
PRO TIP: Social media posts are also a perfect way to remind everyone of incentives and that they can track their progress in real-time!
🎁 MOST ONLINE VIEWS PRIZE: We’re awarding a to the participant who gets the most online views of their fundraising page. Winning strategy: text, share, and post your link everywhere!
10. FYI on Shipping Procedures
Order delivers by semi-truck ~3 weeks after fundraiser ends. With MVP Plan, you get FREE delivery included!
Your order arrives PRE-SORTED by seller in clearly labeled cartons! No mind numbing sorting tasks needed plus this saves hours of volunteer time!
Your cookie dough order is going to be pretty heavy. This could be several hundred pounds, up to several thousand pounds so we’ll need to arrange delivery by a semi-truck. We gotta make sure there’s enough space for it to maneuver and park.
The best option is to set up a delivery spot ahead of time, ideally at a commercial location with a trailer-height loading dock (48 to 52 inches). If that’s not possible, locations with double doors, like school cafeterias, gymnasiums, or church activity centers, work too.
As a last resort, you may use a residential address, but we totally advise against shipping to your home, especially if your order is over 500 items. This stuff takes up more space than you think.
One more thing, don’t forget our cookie dough is safe at room temperature for up to 2 weeks after you receive it. More on this in a bit.
Quick note on shipping fees:
We’re getting charged hundreds or thousands by the carriers, so we’ve already discounted this as much as possible based on your order size.
With MVP Plan, free shipping is included to a commercial address with trailer height dock. Don’t have that setup? Additional fees apply:
- $75 liftgate fee (When delivered to an address where trailer height dock is not available)
- $175 residential delivery fee (Deliveries to residential addresses will be $100 for delivery and $75 for mandatory liftgate service. Addresses are deemed residential by Google maps)
- $100 redelivery fee (for changes in delivery date or address after the order has shipped)
- $25 per pallet fee (if driver uses pallet jack to move from trailer or dock to inside your facility)
Deliveries to outdoor facilities can face issues during inclement weather, so an address to an enclosed facility is recommended to avoid redelivery fees.
Note: MVP orders have 220-item minimum. Pre-sorting unavailable below this threshold.
Black Out Dates for Shipping
No orders will be shipped from June 1st to September 1st or when temperatures exceed 90°F in Dallas or your area. Orders should be placed at least 3 weeks before June 1st. Please allow 1-2 extra weeks for delivery from November 15th to December 30th. We discourage shipping during a week when a holiday falls on Monday, as this shortens the delivery week and can lead to mistakes by the shipper due to fewer days available to fulfill responsibilities.
11. Handing Out Cookie Dough Orders - Ship to Group
🏆 MVP Distribution is EASY! Your order arrives in cartons labeled with each seller’s name and team name if provided. Simply match name to seller list, hand them their labeled carton(s). No sorting. No counting. Grab and go!
No sorting. No counting. Grab and go!
Ship-to-League Orders
Pre-sorted in your main delivery – already organized by seller!
Ship-to-Home Orders
Already handled and shipped directly to buyers! These don’t come in your main delivery.
For a Smooth Distribution Experience
It’s best to have the coach or team mom pick up the entire team’s order. Having parents pick up their orders individually can make the process take much longer but this is totally up to you.
If the ooach or team mom is picking up the orders, please have each parent check their order to confirm it’s accurate before leaving with the team leader. If anything is damaged or missing, make sure to note that right away.
Fulfillment
We scan each order for accuracy and maintain documentation for every transaction during the packaging process. In our experience, most issues occur when:
- The wrong carton is handed out at delivery
- Someone picks up a carton that did not belong to them
Missing Items – Ship-to-Group Orders
If you believe an order is short or contains the wrong item, please provide:
- Seller’s name
- What item is “missing” or “incorrect”
- What items were received
- A clear image of the order
We will research where the error occurred (packing error, etc.) and take corrective action to prevent it from happening again. If the mistake was on our end, we will correct it and ship the replacement at no charge.
Missing Items – Online Ship-to-Home Sales
For online orders, a “missing item” is based on what appears in the 1cookie dashboard.
Submitting Replacement Orders
You have 14 days from the date the shipment is received to submit correction/replacement requests.
Requests submitted after 14 days are not eligible to have product or shipping fees waived. These orders will be invoiced in full, including shipping, regardless of any documentation provided.
A minimum shipping charge of $45 will be assessed on replacement orders that are not the fault of Fundrazor or warehouse fulfilling orders. The replacement orders will be sent to one address only.
All replacement requests must be entered into the 1cookie portal. Every replacement order is invoiced.
If the documentation and description provided meet the criteria (error on our end and submitted within 14 days), applicable product and shipping fees will be credited.
If more information is required, we will not hold up the replacement order. It will be shipped and invoiced, and a credit will be issued if appropriate once the review is complete.
IMPORTANT: Regarding Bonus Boxes Please note that Bonus Boxes for sellers who sold 12 or more items are not packed inside the individual seller’s order. Instead, they arrive separately in unmarked full cases (6 boxes per case). You will need to manually distribute these boxes to each qualifying seller.
12. Stress-Free Cookie Dough Storage + Handling
Don’t forget that our cookie dough is safe when thawed for up to 2 weeks in temps of 72 degrees or below. This is a feature that eliminates unnecessary stress on an already busy delivery day.
TIP: If someone forgets pickup, take it home and leave in your living room until they can get it!
